# Work Task Scheduler

### 1. General Overview

The **Work Task Scheduler** provides an interface for maintenance planners and other authorized users to view, filter, assign, schedule, and manage maintenance work tasks. Users can filter work tasks, review equipment and materials, view task details and geographical information, assign tasks to maintenance employees, and manage task schedules directly from the scheduler.

**1.1 The Work Task Scheduler consists of three primary functional areas:**

1. **Scheduler Panel**
   * Allows users to view maintenance employees/resources.
   * Displays work tasks assigned to resources.
   * Allows users to manually assign, move, and schedule work task assignments.
   * Allows users to change the scheduled duration of tasks.

* Displays available work tasks in a tabular format.
* Allows users to edit tasks.

### 2. Functional Specifications

The Work Task Scheduler solution supports the following key functions:

* Filter and search for work tasks.
* View available work tasks.
* View task details.
* View equipment requirements.
* View material requirements.
* View work tasks geographically on a map.
* Filter maintenance resources.
* Assign work tasks to maintenance resources.
* Unassign work tasks from maintenance resources.
* Schedule and reschedule work tasks.
* Change scheduled task duration.
* Edit work task information.
* Add materials to a work task.
* Add equipment demands to a work task.
* Change work task status.

### 2.1 Pre-requisites

Before using the Work Task Scheduler, ensure that the following prerequisites are met.

**2.1.1 User Access**

The user must have appropriate access to the Work Task Scheduler application.

The user must also have the required authorization to perform actions such as:

* Viewing work tasks.
* Editing work tasks.
* Assigning and unassigning work tasks.
* Changing work task status.
* Adding materials.
* Adding equipment demands.
* Scheduling work tasks.

The availability of specific actions depends on the user's assigned permissions and application configuration.

**2.1.2 Maintenance Resources**

Maintenance resources must be available in the system for assignment and scheduling.&#x20;

**2.1.3 Work Tasks**

Work tasks must exist in the system and meet the configured criteria for display in the Work Tasks Table.  The task should contain information needed for scheduling and assignment.

**2.1.4 Map and Location Data**

The Map portlet displays geographical information when location data is available and configured. The displayed location may depend on the underlying application configuration and available geographical data.

**Source of Map Positions** The map markers displayed in the Map portlet do not come from the attachment or position saved directly on the Work Task. Map positions are retrieved from the Object Map Positions associated with the relevant **Functional Object** in IFS. The map position belongs to the Functional Object associated with the task. If a map marker needs to be added, removed, or corrected, the Object Map Position for the relevant Functional Object should be reviewed or updated.&#x20;

Therefore, deleting a position from the Task attachment does not necessarily remove the marker from the Map. A task may continue to display a map marker even when no position is saved as an attachment on the Task.

### 2.2 Filter and Details Panel

#### 2.2.1 Work Task Filter Tab

The **Filter** portlet allows users to restrict the work tasks displayed in the **Work Tasks Table**.

**Steps:**

1. Open the **Filter** portlet.
2. Enter or select the required filter criteria.
3. Apply the filter.
4. The Work Tasks Table refreshes based on the selected criteria.
5. The Map also updates the displayed task markers based on the filtered results.

The filter therefore controls both:

* Work tasks displayed in the Work Tasks Table.
* Work task markers displayed on the Map.

#### 2.2.2 View Equipment Information

The **Equipment** portlet displays equipment/resource information associated with the selected work task.

**Steps:**

1. Select a work task from the Work Tasks Table.
2. Open or review the **Equipment** portlet.
3. Review the equipment/resource information associated with the selected task.
4. If required, update the **Planned Qty** field.
5. Save the change according to the application's save behavior.

The **Planned Qty** field is editable by the user.

#### 2.2.3 View Material Requirements

The **Materials** portlet displays material requirements associated with the selected work task.

**Steps:**

1. Select a work task from the Work Tasks Table.
2. Open the **Materials** portlet.
3. Review the materials associated with the work task.
4. If additional materials are required, use the **Add Materials** application.

#### 2.2.4 View Task Details

The **Task Details** portlet displays detailed information for the selected work task.

**Steps:**

1. Select a work task from the Work Tasks Table.
2. Open the **Task Details** portlet.
3. Review the available task information.
4. Use **Edit Task** if changes are required.

#### 2.2.5 View Work Tasks on the Map

The **Map** portlet provides a geographical representation of relevant work tasks and maintenance employees.

**Steps:**

1. Apply the required filters in the Filter portlet.
2. The Map updates according to the filtered work tasks.
3. Select a work task from the Work Tasks Table if required.
4. Review the corresponding geographical information on the Map.
5. Use the map information to support planning and scheduling decisions.

### 2.3 Scheduler Panel

The **Resource Filter** allows users to control which maintenance employees/resources are displayed in the Scheduler.

**Scheduler Interaction**

The Scheduler supports the following user interactions:

| Double-click    | Opens the task for editing                       |
| Drag and Drop   | Assigns or moves a task to a resource/time slot  |
| Resize          | Changes the scheduled task duration              |
| Resource Filter | Controls the maintenance resources displayed     |
| Task Selection  | Reflects the selected work task in the Scheduler |

#### 2.3.1 Assign a Work Task

A work task can be assigned to a maintenance resource through the **Assign/Unassign** application or by using the Scheduler's drag-and-drop functionality.

**Using Assign/Unassign**

1. Select the required work task from the Work Tasks Table.
2. Select **Assign/Unassign**.
3. Select the maintenance resource to which the task should be assigned.
4. Confirm the assignment.
5. The task is assigned to the selected resource.
6. The assignment is reflected in the Scheduler.

**Using the Scheduler**

1. Locate the required work task.
2. Drag the task to the required maintenance resource.
3. Drop the task in the appropriate scheduler time slot.
4. The task is assigned/moved to the selected resource and schedule.

#### 2.3.2 Unassign a Work Task

A work task that is already assigned to one or more resources can be unassigned.

**Steps**

1. Select the assigned work task.
2. Select **Assign/Unassign**.
3. Review the resources currently assigned to the task.
4. Select the resource(s) from which the task should be unassigned.
5. Confirm the action.
6. The selected resource assignment is removed from the work task.
7. The Scheduler is updated accordingly.

#### 2.3.3 Reschedule a Work Task

Users can move a scheduled task to a different time period using the Scheduler.

**Steps**

1. Locate the task in the **Work Task Scheduler**.
2. Drag the task from its current scheduled position.
3. Move it to the required date/time.
4. Drop the task in the new time slot.
5. The task schedule is updated.

#### 2.3.4 Change Task Duration

Users can change the scheduled duration of a task directly in the Scheduler.

**Steps**

1. Locate the scheduled work task.
2. Select the task.
3. Resize the task's scheduler bar by dragging its start or end boundary.
4. Adjust the duration to the required period.
5. Release the task after reaching the required duration.
6. The scheduled duration is updated.

### 2.4 Task Table

The Work Tasks Table provides the following custom actions:

#### 2.4.1 Edit a Work Task

The **Edit Task** application allows users to view and update work task information.

1. Select the required work task from the Work Tasks Table.
2. Select **Edit Task**.
3. The Edit Task application opens.
4. Review the existing task information.
5. Update the required fields.
6. Complete all mandatory fields.
7. Save the work task.

**Add Materials to a Work Task**

The **Add Materials** application allows users to create a new Maintenance Material Order or add material to an existing order for the selected work task.

1. Select the required work task.
2. Open the **Add Materials** application.
3. Select whether to:
   * Create a new Maintenance Material Order, or
   * Add material to an existing order.
4. Enter/select the required material information.
5. Complete the required fields.
6. Save the material information.
7. Verify the material requirement in the **Materials** portlet.

**Add Equipment Demands**

The **Add Equipment Demands** application allows users to create an equipment or tool resource demand for a work task.
